These Terms of Use ("Terms") govern your access to the Baltic
Lasers client portal at balticlasers.sheer.ee
operated by Medical Management OÜ ("Baltic
Lasers", "we", "us"). By signing in or otherwise using the
portal, you agree to these Terms. If you do not agree, please do
not use the portal.
1. Who may use the portal
The portal is a business-to-business tool for authorised contacts of companies that use Baltic Lasers products or services, plus individuals who own such products in their own name. Access is granted by an administrator after we verify your relationship with one of our customers. Accounts are personal — do not share your login with anyone, even within the same company.
2. Creating an account
An account can come into existence in three ways:
- Self-registration — you submit your details via the public registration form. An administrator reviews the request, links it to (or creates) a matching contact in our CRM, and then sends you a temporary password by e-mail. You must change the temporary password on your first sign-in.
- Invitation by an Owner or Salon Admin — a teammate at your company can invite you from the company's Team card. You receive an e-mail with a link, fill in your name and (optionally) phone, and an administrator finishes the approval. The role and initial permissions chosen by the inviter are applied automatically when the administrator approves.
- Direct creation by an administrator — for operational reasons we may create a portal login on your behalf and notify you with a temporary password.
3. Roles and permissions
The portal recognises four roles:
- System Administrator — Baltic Lasers personnel only. Reviews registration and change requests, manages every account, and sees the audit log.
- Owner — the senior portal user for a company. Manages the team for the companies they belong to, can grant or revoke any permission to any teammate, and can invite new users.
- Salon Admin — equivalent to Owner with one restriction: a Salon Admin cannot change an Owner's permissions and cannot promote anyone to Owner. Use this role for managers who run day-to-day operations but should not modify ownership.
- User — a standard team member. By default sees only the devices linked to the company; further permissions (browse the shop, place orders, view manufacturer materials, file service requests, edit company data) are granted explicitly by an Owner / Salon Admin / system admin.
Permissions can be revoked at any time by an Owner, Salon Admin (within the limits in section 3) or system administrator. Revocation takes effect on your next request and may remove portal features you previously had access to.
4. Your account & security
- You are responsible for keeping your password confidential and for every action taken under your account.
- Notify us immediately at sales@baltic-lasers.eu if you suspect your account has been compromised.
- You may change your login e-mail from your profile page; we send a verification link to the new address and only switch the login over after you click it.
- You may delete your portal account yourself from Edit profile → Danger zone. Self-deletion removes only your portal login. Your contact record in our CRM is preserved so service history stays intact; reach out to us if you need that record removed too.
- We may suspend or terminate accounts that violate these Terms, that are inactive for an extended period, or that pose a security risk.
5. Acceptable use
When using the portal you agree not to:
- attempt to access data, devices, companies, materials or orders that are not linked to your account or that you have not been granted explicit permission to view;
- upload malicious content, viruses or content that is illegal, infringing, defamatory or otherwise harmful;
- upload personal data of third parties without an appropriate legal basis;
- circumvent permission flags, role restrictions, rate limits, file-type / file-size restrictions or any other technical control;
- reverse-engineer, scrape or run automated agents against the portal beyond the features we explicitly provide;
- use the portal for anything other than managing your own relationship with Baltic Lasers.
6. Content you submit
You may submit content to the portal via service requests (including file attachments such as photos, videos and PDFs), profile / company change requests, company-creation requests, questions to the help centre, shop orders and team invites. By submitting content you confirm that:
- you have the right to share the content with us;
- the content is accurate to the best of your knowledge;
- any personal data of third parties contained in it is shared on a lawful basis.
You retain ownership of the content. You grant Baltic Lasers a non-exclusive licence to use it for the purpose of operating the portal, fulfilling your requests and orders, and meeting our statutory obligations.
7. Change requests & admin review
Updates to your profile, company cards or device records are submitted as review requests. An administrator verifies each proposed value before applying it; some preference fields (newsletters, communication languages) are auto-applied without review. Submitting a request through the portal does not guarantee it will be adopted — we may edit, reject or postpone changes when needed.
8. Service requests
Service requests filed through the portal are routed to our technicians via our internal CRM. We aim to acknowledge each request within one business day, but the portal does not provide a binding service-level agreement on response time, repair time or spare-part availability — those are governed by the underlying service agreement (if any) between your company and Baltic Lasers.
9. Help centre & questions
The help centre is provided for general guidance. Articles may be updated, replaced or withdrawn at any time. When you submit a question via the "Ask a question" form, we capture your name, e-mail, phone number and CRM ID (so we can reply); the question text and your identity are visible to system administrators only. The administrator may publish a public FAQ article based on the answer. We do not publish the asker's identity.
10. Shop & orders
If shop access is enabled for your account:
- Prices are shown both inclusive and exclusive of Estonian VAT. EU customers with a verified VAT number outside Estonia receive a reverse-charge invoice (no VAT added) at our discretion based on the company billing details on file.
- Orders can be placed in Personal mode (no company invoice) or Company mode (a company with full legal data is selected as the bill-to). The "shop_checkout_company" permission controls whether the Company option appears.
- An order is binding once you click Place order. Stock availability, taxes and shipping costs may still be adjusted by us before dispatch if there is an obvious mistake; we will contact you in that case.
- Returns and warranties are handled per the matching manufacturer policy and the Estonian Law of Obligations Act where applicable.
- Card and bank-link payments are processed externally by our payment provider (EveryPay). We never see your card number.
11. Team management
Owners and Salon Admins can scope the per-feature permissions of their teammates from the company Team card. They can also invite new colleagues by e-mail; an administrator still validates each invitation before access is granted. Permission changes apply immediately on the affected user's next page load.
12. Intellectual property
All software, design and content of the portal are owned by Baltic Lasers or our licensors. Manufacturer documentation made available to you via SharePoint remains the property of the relevant device manufacturer and is provided for your internal business use only. You keep ownership of the content you submit (see section 6).
13. Third-party services
The portal integrates with external services to deliver its features — a customer-relationship management (CRM) system, a cloud document library for manufacturer manuals and brand materials, our hosting and outgoing-mail providers, the EU Commission's VIES service (VAT verification), a parcel-machine network for shipping options and a payment processor for card / bank-link payments. Your interactions with those services are additionally subject to the providers' own terms; we remain the primary controller for the data we share with them, and the Privacy Policy describes our processors in detail.
14. Availability and "as is"
We work to keep the portal available and performant, but we do not guarantee uninterrupted access, freedom from errors, or that every feature works in every browser. Some features depend on third-party services whose uptime we do not control. The service is provided "as is" and "as available".
15. Limitation of liability
To the maximum extent permitted by law, Baltic Lasers is not liable for indirect, incidental, consequential or special damages arising from use of the portal, including loss of profit, business interruption, or loss of data caused by an integration outage we did not control. Our total aggregate liability is limited to the fees you have paid to Baltic Lasers for services in the twelve (12) months preceding the event giving rise to the claim. Nothing in these Terms limits liability that cannot be limited by mandatory law.
16. Privacy
Your use of the portal is also subject to our Privacy Policy, which explains what personal data we process and why.
17. Changes to these Terms
We may update these Terms from time to time. Material changes will be announced on the login page, on the dashboard after sign-in, and by e-mail. Continued use after the effective date constitutes acceptance of the updated Terms.
18. Governing law
These Terms are governed by the laws of the Republic of Estonia. Any disputes arising from them shall be resolved in Harju County Court, unless mandatory consumer-protection law provides otherwise.
